Shireburn Indigo eases the payroll calculation process

Shireburn Indigo removes much of the manual calculating needed when adjusting payrolls for your employees’ vacations, sick leaves, and benefits. How does Shireburn Indigo help minimise extraneous manual calculating? 

  1. First, it uses pay items to calculate gross pay, which can be anything from basic pay rates, bonuses, fringe benefits, deductions, reimbursements, and a whole lot more. 
  2. Tax profiles can be linked with pay items so that the appropriate tax is deducted from the employees’ gross pay.
  3. All approved leave taken by your employees adjusts the total time worked by each employee in each payroll. (If you have Indigo Time & Attendance active, you can import and send attendance data to automatically adjust payroll calculations.)
  4. Come payday, just apply global pay items and make any minor adjustments before calculating and finalising the payroll!

Shireburn Indigo Payroll clients go live

Shireburn Indigo PayrollUsers of the new Shireburn Indigo Payroll have gone live as of January with the new generation Cloud-based software product. Client uptake targets were well exceeded with more than 30 new companies and 500 employees in just the first month of the year.

Shireburn Indigo Payroll is a web-based payroll and leave management software, designed, developed and supported by Shireburn Software.  As well as offering all the standard features of a payroll, Shireburn Indigo provides a self-service web portal for employees, allowing them to manage their own leave and approve the leave of the staff that report to them, as well as obtain copies of previous payslips and government forms, with the objective to increase the productivity of the payroll and HR departments.

Shireburn Indigo PayrollShireburn is already a leader in the local payroll market with its on-premises payroll offering, the Shireburn Payroll & HR System (SPS).  The company’s software products process the payroll of over 50,000 employees every month.

10 Tips to Manage Employee Leave

Shireburn Indigo PayrollManaging your employees’ leave, however large or small your organisation, can be stressful. From vacation leave to sick leave, study leave, bereavement leave, and maternity leave, keeping track of employees’ different leave requests call on a manager’s planning skills to take action.

It can all become an administrative nightmare! But here are some simple tips that could help you successfully manage leave policies and maintain a productive workplace, all while staying in compliance with laws and employment regulations.

  1. Keep up to date with legislation and be clear on both employer and employee rights.
  2. Outline clear leave policies for everyone to adhere to. This also helps ensure uniform treatment across the board.
  3. Set a clear leave notice period whereby employees are expected to give proper notice when applying for vacation time. Of course, exceptions will occur and management should be flexible according to the employee’s situation. Setting a notice period such as a week in advance, helps management to coordinate resources better.
  4. Network within the HR community. This will help you keep up to date, so becoming a member of associations such as the Foundation for Human Resources Development (FHRD) might help keep yourself informed.
  5. Automate the process of importing leave data into your payroll. Administering leave can already burden HR and management, and a software solution can help relieve much of this work.
  6. Simplify your vacation leave application process. Some software solutions offer an employee portal that allows staff to apply for leave online and enables managers to approve or reject this accordingly. This streamlines the process, reduces paperwork, and eliminates disputes over applications and resources.
  7. Provide tools for management to see their resources available at any one given moment, so that they can swiftly approve or reject leave requests based on resource availability. This ensures that your company can continue to operate smoothly, every day.
  8. Provide staff with a leave planner so that they can also view resources on any given day and will be more reluctant to apply for leave on a day when several of their colleagues are already absent. Some software solutions provide this through an online portal, but you can also keep a physical planner in a common area such as your staff room – you just need to be prepared to regularly update it since it will not update automatically as in the case of an online portal.
  9. Ensure managers/HR have access to updated and correct employee leave balances so that they may quickly determine whether an employee is eligible to pay while on the requested leave.
  10. Encourage management to be empathetic towards employees who are requesting leave due to difficult personal issues. If handled wrongly, this can cause workplace morale problems both for the employee in question and those around them. Demonstrating a proper balance between employee and company interests, will pay dividends on your team’s productivity, morale and retention.

Heritage Malta chooses Shireburn Software’s solutions

Heritage Malta has recently teamed-up with Shireburn Software to support its prestigious sites with their software solutions. Shireburn was chosen to replace the previous systems and provide its integrated accounting, inventory and point-of-sale solutions to help combine operations at Heritage Malta’s various museums and sites around Malta and Gozo.

Heritage Malta embarked on a long term project to integrate all systems across all its operations. Shireburn’s Inventory Management System (SIMS) was implemented as the backbone inventory control system, with a total of 21 implementations of Shireburn’s Point-of-Sale (SPOS) solution across all Heritage Malta museums and sites, including the National Museum of Archaeology, the Inquisitor’s Palace, St Paul’s Catacombs and the Gozo Nature Museum amongst others.

Heritage Malta is continuously striving to integrate all its data into one knowledge base and hence this includes several initiatives which concern the updating of all its ICT services and tools.

The Shireburn Financial Manager (SFM) has also replaced the previous accounting system, and with direct integration with inventory, point of sale and payroll, it now provides a more cohesive solution for Heritage Malta to run its operations more smoothly.

Training was provided to all Heritage Malta staff over the course of a month, starting with back office employees, and onto management and front facing staff, in time for the ‘go live’ date.

Heritage Malta had already been using Shireburn’s Payroll System (SPS) in conjunction with Shireburn’s Time and Attendance system since 2002 and runs a monthly payroll for its 310 employees.
